Obstacles to Success

Moore Public Schools was looking for a way to reduce the amount of time required to collect and account for funds coming into the district for various fees and activities.

Originally, all school fee and activity payments were required to go through a series of steps. To start, funds and registrations were collected by activity sponsors, teachers, and secretaries. They were then receipted, balanced, and given to financial secretaries for depositing. Once the deposits were verified by the secretaries, they were sent to the central office for final verification prior to making it to the bank. These deposits were also manually keyed into the district’s financial system so that they could maintain a central record of payments.

This process required multiple people physically handling funds and on average, took more than a week to complete. Moore Public Schools realized this was taking away teachers’ valuable time with students and that there was an opportunity to improve their processes.

Solution

Upon researching more efficient ways to handle school-related payments, Moore Public Schools decided to use MyPaymentsPlus for their fees and activities, providing an innovative payment solution not only for their parents, but for their business processes alike. MyPaymentsPlus allows parents to make payments for their children’s school fees, activities, and meals in one convenient location online or in person, while providing districts a way to easily reconcile those funds.

Moore Public Schools began using the fees and activities modules of MyPaymentsPlus at all of their 35 schools, reaching the majority of their 23,000 students. By utilizing MyPaymentsPlus, they were able to give parents the opportunity to make payments online for offerings such as before and after care, parking permits, art fees, and more. 

“Using MyPaymentsPlus has cut down on the number of receipts written, amount of time spent counting and balancing deposits daily, and reconciling the funds collected for each fundraiser,” Moore’s School Activities Supervisor Cindy Johnson said. “Teachers have more time teaching versus writing receipts and counting money.”

With MyPaymentsPlus, transactions are all online, thus eliminating the use of paper checks and receipts. Moore Public Schools saw cost savings with their publication department by not having to print receipt books. Cindy commented that, prior to MyPaymentsPlus, “when funds were collected from students, there were a number of deposit verifications that had to be made.” Now, with online payments, this process is no longer needed, thus saving time and improving efficiency. MyPaymentsPlus accepts major credit and debit cards as well as e-checks, so schools don’t have to worry about bounced checks or insufficient funds.

Along with saving time and money, Moore Public Schools found it is simple to promote the program. MyPaymentsPlus offers free resources and marketing assistance to help districts spread the word, get parents excited, and be successful innovators. Moore Public Schools found the marketing resources to be extremely beneficial for promoting to parents. “The customized marketing materials provided clear and concise communication.”

As the program continues to grow, Moore Public Schools is confident that their processes will continue to improve and participation with fees and activities will increase. Within just the first year, they have seen much success, more so than expected, and are assured it will continue to grow in years to come.
