Cancellation/Postponement FAQ's

Both the West Coast and Midwest Horizon Regional UGC’s have been postponed until further notice. Will they be rescheduled?

At this time, it is too early to make a decision about rescheduling. We are monitoring the COVID-19 situation closely and will provide updates when we have new information to share.

Is the Southeast conference still taking place?

Yes, we are still moving forward with the Southeast conference in Savannah at this time. We are monitoring the COVID-19 situation closely and will make necessary changes as needed.

As a Horizon Regional UGC registrant for a conference that has been canceled or postponed, will I receive a refund?

Yes. If you paid for your registration via credit card, a full refund will be issued to the credit card that you paid with. Please allow 3 to 7 business days for the refund to post to your credit card. If you chose the invoice method, invoices are being voided and any money paid will be refunded.

What will happen to my hotel reservation?

Hotel reservations made through the Horizon Regional UGC registration site will be canceled. If you booked hotel on your own, you will be responsible for canceling those reservations.

Will Horizon provide reimbursement for airfare or a hotel booked outside of the Registration System? 

No, Horizon will not provide reimbursement for airfare and/or hotels that were booked outside of the Horizon Regional UGC Registration System. Many airlines and hotels are offering flexible refund options due to the COVID-19 situation. Please contact your airline and hotel directly to review options.

Travel Questions

Who takes care of travel arrangements?

Attendees are responsible for their own travel to and from the conference. If you purchase the Full Registration Package, it includes one night of lodging at the conference hotel for the first night of the conference.  Horizon will make your hotel reservations for you.

If you would like to extend your stay, please contact us. Conference attendees receive a special rate for additional nights immediately before or after the conference.

Where can I find information about the conference location and area?

We have provided a link to each hotel property from our website which is a great source of information.

I am driving to the conference. Is parking available at the conference location?

Yes, parking is available at each location. Please refer to our website for each locations parking information as there are additional costs for parking that are not included with your registration rates.

I am flying to the conference, what airport should I fly into?

West Coast: San Diego International Airport (SAN) is approximately 17 miles to the hotel.

Midwest: Detroit Metropolitan Wayne County Airport (DTW) is approximately 19.5 miles to the hotel.

Southeast: Savannah/Hilton Head International Airport (SAV) is approximately 16 miles to the hotel.


 

Attendee Questions

Can I receive continuing education credit for attending Horizon UGC?

Yes! All attendees are eligible to receive a certain number of hours of Continuing Education Units (CEUs) for attendance, determined by the School Nutrition Association.  We will post the approved hours once we receive them.

What if I registered and can no longer attend, or one of the people on my team registered cannot attend?

You have a couple of options; you can either cancel or substitute an attendee. Be aware that if you cancel, cancellations must be made in writing via email.

Cancellations will be handled on a case by case basis as to whether a refund can be provided or not as we recommend that you buy the Purchase Protection plan for the 2020 conferences which is available during the registration process which provides a full refund if you have to cancel for covered reasons. Please read all information carefully before you purchase.

What is the policy for attendee substitutions?

Attendee substitutions are permitted at any time at no additional cost. If you wish to substitute one attendee for another, please contact us.

What if I need to cancel my registration?

Cancellations must be made in writing via email.

Can I bring a guest with me to the conference?

A guest may stay in your room at no additional charge, but may not attend conference sessions, meals, or activities. If they wish to attend meals and/or activities with you, please contact us for more information.


 

Conference Questions

What is the dress code for the conference?

Standard attire for the conference is business casual, but jeans are perfectly acceptable; we would also welcome any school spirit or school nutrition spirit you would like to display. Please be sure to avoid attire with any inappropriate language or images.

Where do I go when I arrive at the hotel?

If you have a full conference registration, check-in for your room at the hotel registration desk upon your arrival. Look for signage to direct you to a separate Horizon conference registration desk for conference check-in where you will be provided a conference badge and materials.

Where do I pick up my badge?

When you check in at the conference registration desk, you will receive your welcome package with everything you need for the conference including your conference badge.

Which meals are provided?

Attendees must be wearing their conference badge in order to attend meals.

Meals included are:

  • Day 1: afternoon breaks, off-site dinner
  • Day 2: breakfast, morning break, lunch

If I’m a vegetarian, are there meal options for me?

Yes, please indicate your preference during the registration process.

What if I have a food allergy/intolerance or special meal requirements?

Please note any allergies or special meal requirements during the registration process so we may accommodate you.
